POSITION SUMMARY

The Data Entry Coordinator will infuse and model the Girl Scout Law into their everyday work to fulfill the mission of building girls of courage, confidence and character who make the world a better place.

This position is also responsible for data entry for all incoming registrations, document processing and record management. Provides administrative support to the council and efficiently maintains accurate electronic and hard copy files containing membership and events data. Performs or oversees data entry of volunteer and membership information, of events and trainings, and follows standards to ensure data accuracy. This position is responsible for assisting with overall database management, to include department workflow, assist with process improvement, administrative services and she/he maintains efficient administrative procedures and quality assurance processes. The Data Entry coordinator will be the first point of contact for Girl Scouts Diamonds inquiries via phone and email.



MAJOR ACCOUNTABILITIES

  • Assists in accurate completion of girl and adult membership registration process, inputting data on system, so that statistical information can be used and extracted.
  • Sets up Council program, events, training etc. in the data system online.
  • Assists in processing resident camp, day camp and girl event registrations. Ensures that registration process works quickly and efficiently.
  • Maintaining high levels of data quality
  • Identifying and developing solutions for data issues.
  • Property Reservation System Management
  • Cases Management
  • Manage case management as it relates to placement issues.
  • Provides system reports as needed or requested by Council staff.
  • Creates template reports for Council staff giving them the ability to run their reports as needed.
  • Share knowledge with other staff in the use of the database system and assist with troubleshooting when necessary.
  • Provides high quality services to all internal and external customers by portraying a positive image of Girl Scouting.
  • Sets positive and welcoming atmosphere by greeting customers warmly, taking care of customer's needs where possible and referring customers to other staff members when needed.
  • Interacts with other staff members in a positive way, providing support wherever possible.
  • Perform administrative task list, as designated by regional office.
  • Participates and contributes to the development function of the council.
  • Completes other duties as assigned by supervisor.
  • Duties will vary according to regional office.
  • The Data Entry coordinator will be the first point of contact for Girl Scouts Diamonds inquiries via phone and email.

Examples may include but are not limited to-membership recruitment/renewal campaigns and efforts, product program logistics and support to include cookie cupboards and volunteer assistance, volunteer appreciation and engagement, retail inventory and delivery (among regional offices), program signature event participation, and support, and property maintenance/improvement as requested.

KNOWLEDGE AND CREDENTIAL QUALIFICATIONS

Required

  • High school diploma - college a plus
  • Valid driver's license and safe driving record

Preferred

  • Experience in business administration or a related field
  • Knowledge of Girl Scout Leadership Experience

ABILITY AND SKILLS QUALIFICATIONS

  • Strong interpersonal skills with the ability to establish effective working relationships with other staff members, visitors, volunteers and the public via telephone, email and in person
  • Planning and organizational skills with attention to details
  • Ability to accurately enter data within a reasonable time
  • Must be able to work in a fast-paced work environment with ability to multi-task while maintaining composure
  • Ability to operate other office machines such as fax, calculator, and business telephones
  • Work requires normal physical effort for primarily an office environment; some physical effort in handling of materials or boxes and tools or equipment of up to 50 pounds in non-strenuous work. Some periods of continual standing or walking may be required
  • Regular and prompt attendance required
  • Subscribes to the principles of the Girl Scout Movement
  • Demonstrated ability to successfully manage multiple priorities, work independently, and meet deadlines
  • Strong human relations skills and have ability to work well with people of diverse backgrounds
  • Ability to exercise good judgement
  • Excellent written and oral communication skills
  • Excellent computer skills
  • Solution driven with the ability to effectively problem solve

HOURS AND TRAVEL

Willingness to work a flexible schedule, including some nights and weekends
